Privacy Policy

BizMyte helps Australian mortgage and finance brokers run a compliant, audit-ready practice. Protecting the information entrusted to us — and to you by your clients — is fundamental to that.

This policy explains how BizMyte, operated by GoTech Solutions Pty Ltd (ABN 65 644 150 943), Sydney NSW (“we”, “us”, “our”), handles personal information. We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Scope and our role

This policy applies to the BizMyte website at bizmyte.com.au and to the BizMyte platform (the “Service”). Where you use the Service to process information about your own clients, you remain responsible for your own privacy obligations to those clients; in that context we act on your instructions as part of providing the Service to you.

Where practicable you may deal with us anonymously or by pseudonym — for example, general enquiries. Because the Service is a professional tool tied to your broking practice, using an account and providing certain information is necessary to provide it.

We use privacy-respecting, cookieless website analytics to understand aggregate traffic. We do not use advertising cookies or sell analytics data.

4. How we use information

We use information to provide and operate the Service — including extracting and checking documents, capturing consent, and maintaining the audit trail — and to provide support, secure the Service, meet our legal obligations, and improve the Service using aggregated, de-identified insights.

5. Automated tools and AI

The Service uses automated tools, including artificial intelligence, to read and extract information from documents, check that information against compliance requirements, and produce indicative results for the broker’s review.

These outputs are decision-support, not automated decisions. The broker reviews each result and makes the professional judgement and any credit-related decision. The Service does not make a decision that produces a legal or similarly significant effect on a client solely by automated means and without human involvement. We take reasonable steps to keep the underlying data accurate and to make the basis of an output visible to the broker (for example, showing extracted fields beside the source document).

6. Disclosure and service providers

We disclose personal information to trusted service providers who help us run the Service, including Microsoft Azure (hosting and infrastructure), Microsoft (online meetings, transcription) and our email delivery provider. We require these providers to protect information consistently with this policy and to use it only to provide services to us. We do not sell personal information. We may disclose information where required or authorised by law.

7. Data residency

The Service is engineered to host customer data in Australian Azure regions. Your data is intended to remain onshore in Australia.

8. Overseas disclosure

We aim to keep personal information in Australia. Some of our service providers are global organisations. While data is hosted in Australian regions, limited access to or processing of information from outside Australia may occur in the course of providing, supporting or securing the Service. Where that happens, we take reasonable steps consistent with APP 8 to ensure the information is handled with protections comparable to the APPs.

9. Security

We apply controls appropriate to the sensitivity of the information, including encryption in transit and at rest, access restricted to authorised personnel, access logging, an append-only audit trail, and soft-delete with versioning. We apply data-minimisation practices and are designed not to store certain highly protected identifiers, such as Tax File Numbers. No system is perfectly secure, but we work to protect information against loss, misuse and unauthorised access.

10. Data breaches

If a data breach occurs that is likely to result in serious harm and is not prevented by remedial action, we will comply with the Notifiable Data Breaches scheme under the Privacy Act — including notifying the Office of the Australian Information Commissioner (OAIC) and affected individuals as required. Where the breach involves information you process through the Service as the responsible party, we will support you in meeting your own notification obligations.

11. Retention and destruction

We retain information while your account is active and for as long as needed to provide the Service and to meet legal and record-keeping requirements. Brokers have their own regulatory record-keeping obligations, and retention reflects those needs. When personal information is no longer needed for any purpose for which it may be used or disclosed, we take reasonable steps to destroy it or de-identify it. You may request deletion, subject to any legal retention requirements.

We may send you service and account communications necessary to operate the Service. We may also send occasional product updates; you can opt out of non-essential communications at any time using the contact details below or the unsubscribe option in the message.

13. Your rights

Under the APPs you may request access to, and correction of, the personal information we hold about you. To make a request, or to raise a privacy concern, contact us using the details below. We will acknowledge your request and respond within a reasonable period, ordinarily within 30 days. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

14. Children

The Service is intended for licensed professionals and is not directed at children.

15. Changes to this policy

We may update this policy from time to time. The “Last updated” date above reflects the current version.
